College Meeting Minutes

June 25, 2009

 

Attendance:  Ginger, Bob Gilbert, Bobby, Kettenacker, Jim Smith, Sam Clemons, Rachel Rogers, Tamika & Priscilla (Jay excused due to work commitment).

Agenda:

     1.       Quarterly meeting with Reigning Monarchs

Meeting called to order @ 7:03 p.m.

 

·         Issue #4 – Regent

 

Sam – Jay not being present I agreed per Ginger's request to not discuss since he wasn't able to answer any questions.  I felt that there are some things as I mentioned in the meeting which I see are not noted in the minutes about the Jay's role as Regent and how the membership, the community and the charities see the  organization. 

 

It is agreed that a suggestion would be made to Jay to address these issues in the newsletter to make the membership aware of his role through his perspective.

 

·         Issue #1 – Monarchs

 

Sam – wants Priscilla to learn a new song

Rachel – doesn’t like the way Priscilla wears her hair

No other issues were brought up

 

·         Issue #2 – Anniversary Fund

 

Ginger read the two e-mails she received in regards to the balance of the Anniversary Fund.  The 1st e-mail being from Brooklyn who would like to take $400 from the fund and move to the Coronation fund.  The 2nd e-mail being from Bobby, who would like to take the $400 and comp the stepping down monarch’s hotel room for Friday and Saturday night.

 

 

                 Here is an insert from Bobby’s e-mail:

 

I would like to see if they would make a motion to use this money to help comp tickets for ones that are putting their own time into making stage props and designing artwork for pins? Also, this year the only room that is being comp at the host hotel is the Ky Room. Since I believe that the reigning's have never paid for a room at their step down I would like to see a motion made by the Decades to use money in the anniversary fund to pay for Priscilla's room for Friday and Saturday night?

Also, Jeff Stemmer is looking for anyone that may have some used Latex white paint or eggshell to use towards painting the stage designs. Please let me know.

Looking for transportation of the sheets of foam board which are 4 x 8. We need someone with a open bed pickup. He needs help getting them from Lowe's or Home Depot to his house and then again during Coronation.

Have a question for you. I spoke with Tate and she stated that her and Dale were not getting new jewels for their decade bu they were still planning on doing a show  and donating that money to a charity.

Is there any way possible to take $400.00 out of the Anniversary Fund and apply it to the Coronation Fund. As it looks now we only have $550.00 in the Coronation Fund and with this money we would cover the cost of the down payment for the Syndicate.

 

Sam believes the individuals (the decade monarchs) should have the right to decide where the money goes.  Doesn’t believe the money should be used to comp. rooms for the monarchs stepping down.

 

Rachel – Sam your confusing the people (the decades) with the organization. 

 

It was decided that Ginger would make sure there is nothing already in place that states what should happen with the fund if it is not used by the Decade Monarch’s.  Both the protocol manual and by-laws will be checked.  If nothing is found, a discussion will be brought forth to all College members via e-mail and then a vote decided.  The vote will be brought to the Board of Directors.

 

·         Issue #3 – Coronation

 

Bobby – no runway will be used, instead steps will lead up to the stage at Coronation.  A red carpet with velvet roping will be used, like a Hollywood red carpet.  The carpets are 3’ wide x 24’ long, with 2 being needed.  Rental on the carpet is $48 for each section.  Rope is $4.40 each and the stands would be a total of $94.50 in rental.  Bobby will pick up the items to save on shipping costs.  Steps will have railing on them.  Bid from Jeff Stemmer on the stage set is for $145.67.  Bobby to request a total of $200 for this stage set from the Board of Directors.  $500 for hospitality budget has already been secured from the BOD.  All venues are set and in place.  No boat trip this year, instead the Out of Town show will be held at the Dock with a show following at Shooter’s.

 

A cookout will possibly be planned at On Broadway on Sunday for the Victory Tour.

 

Ginger – Pin design has been submitted to Condor.  We are looking at a 1 week lead time on the first rendering as our Condor contact is in Nashville on a national conference.

 

Bobby – this year prior to the Invocation, Jim will read a letter in memoriam.  No member’s names will be mentioned at this time.

 

Sam – Has Bobby thought about vendor space?

 

Bobby – Vendors will be invited to set up in the hospitality suite.

Mike & Poison are in charge of silent auction at the ball.  Reign baskets are appropriate and preferred.
