September 15, 2008 Board of Directors/General Membership Meeting Minutes I.S.Q.C.C.B.E.
In Attendance: Dixie Crystals, Kathy King, Sam Clemons, Priscilla DeVille, Tony Sanford, Joseph Cuni, Mike Burke, Poison Ivy, Truly Scrumptious, Maxie Malone, Karen Davis, Ginger Snap, Bob Gilbert, Brooklyn Steele-Tate, Dennis DeClaire, David Bennett, Darren McCullah, Joshua Burgess, Roberta Bigg, Jim Smith, Kevin Raleigh, Jay Rickels, Randy Bridges, Tom Wherry, Greg Barker The meeting was called to order at 7:01 pm by Kathy King, President of the Board of Directors. The purpose was read by Maxie Malone.
President: Kathy King began by thanking Reign XVII for all their hard work. In addition to the funds already reported an additional $222.50 deposit as well as the Pitney Bowes Match were still to be added to the final total of funds raised. Kathy then welcomed the newly elected Empress XVIII Priscilla DeVille and Emperor XVIII Jay Rickels to the Board of Directors. Kathy took this opportunity to explain the purpose of the Town Hall meetings that were suggested by Panzi when he was in town. The purpose of these meetings are to address any problems, concerns, or ideas that members may have regarding the organization. She then congratulated all who were involved in the previous Friday’s show with a wonderful night. The show raised over $600 and everyone had a great time. She then reminded everyone of the Special Membership meeting scheduled for October 14, 2008 from 6:30 until 9:00 at the library.
Treasurer:
Mike Connley out of town on business, absence excused. Approval of the Treasurer’s Report was tabled until Mike’s return. Motion to table: 1st Brooklyn 2nd Ginger All approve
Corrections were noted to Kathy King by Sam Clemons, Brooklyn Steele-Tate, and Mike Burke. 1. Coronation gifts and robes funds should come from Membership fund not Coronation. 2. $400 raised by Mike and Poison should go to Reign XVII not XVIII 3. Money raised by Kentucky Court from shot sales are to be credited to Reign XVIII
Vice President: Brooklyn made a general announcement regarding the newsletter status. There will be no newsletter for September. However, the September/October newsletters will be combined in order to include Coronation XVIII. The newsletter should be available October 1st. Dixie will notify the general membership in her weekly email. The deadline for articles will be announced at a later date.
Secretary: Dixie submitted the minutes from the August 18, 2008 meeting for approval. Motion to approve 1st Brooklyn 2nd Bob Gilbert All approve with no corrections.
Membership: Bob notified the Board that we currently have 303 members. Show packets with standardized membership forms will be put together and given to the monarchs. College: Jim Smith submitted the draft of the letter to Tiara Enterprises. Ginger took possession and is working the corrections to the letter. Currently waiting on Christina Blake and Rachel Rogers’ crowns.
Monarchs: Priscilla announced that Investitures will be held at the Dock on October 5th. Doors will open at 5:00 pm with a door donation of $3.00. Sunday the 21st of September is the planning meeting at Rosie’s at 1:30. Dixie will send an email to the General Membership. Annual AIDS Walk is September 27, 2008 Motion to approve this year’s charities: Stop AIDS, AVNK, Caracole House, PFLAG, and YWCA Breast Cancer Awareness Fund. Equal 20% split of funds raised to all charities. 1st Ginger 2nd Brooklyn All approved
Old Business: Mike Burke announced that the Guiness record was denied because we had no video taped evidence. He then requested that the Monarchs approve another attempt in March of 2009. This time we will be bringing in a representative from Guiness to witness the entire event. New Business: Jim Smith brought up the issue that we had inadvertently listed ICP IV Olive America as deceased in the Coronation program. He requests that we place a letter in the newsletter and a general email informing everyone that she is still with us. Mike Burke will write the letter. Priscilla and Jay asked Dixie to be the PR Representative for Reign XVIII. Dixie accepted. Tamika paid for an ad in the Coronation program that never appeared. Mike Connley will reimburse her the cost. Nominations were opened for Board of Director positions up for election.
